KAMPALA - For companies trying to stay relevant, digitisation is not optional, according to Patrick Ayota, the managing director, National Social Security Fund (NSSF).

“As we evolved, technology came to the rescue. It enabled us to overcome operational inefficiencies and truly deliver on our value proposition of convenience,” he said.

Ayota was speaking during the Electronic Document and Records Management (EDRM) workshop at the Munyonyo Conference Centre in Kampala. 

The three-day event is bringing together a diverse group of stakeholders from financial institutions, medical facilities, and financial technologies (Fintechs) seeking to learn how to transition towards a paperless environment.

Ayota said the fund has been able to achieve a more than 95% paperless operation due to its investment in automation over the years. He said the case for digitisation is no longer about future proofing, but meeting present-day expectations of its members.

“Digitisation is non-negotiable. You cannot deliver the convenience, efficiency, and responsiveness that today’s members expect without full digitisation. It is the backbone of a modern, agile, and member-centric organisation,” he said.

Jody Butterworth, the lead curator with the British Library, said there is need for firms to adapt to changing technology.

“My one recommendation if you're thinking of doing a digitisation project is to remember your cataloguing while you digitise. I think a lot of the projects have been delayed in the past because the digitisation has happened first and then the cataloguing of that digital content has happened second,” she said.

“You should do it together because it is so much more difficult to go back to your digital assets. But if you have a clean and clear workflow from start to finish, you finish on time and on budget. So, I would say the one thing I would recommend is thinking through that workflow of how you're going to do it.”
